Honest answers about how automation projects work, what they cost, and what actually determines whether they succeed. More questions? Just ask.

The honest answer is that not every process is a good automation candidate - and we'll tell you that upfront. The best candidates have three things in common: they're high-volume (at least 50–100 transactions per day), they follow rules that can be defined clearly, and they're currently consuming significant human time. Processes that require a lot of subjective judgment, involve highly variable unstructured inputs, or change frequently tend to have poor ROI on automation. We do a process assessment before scoping anything, specifically so you don't build bots for the wrong things.
A focused single-process automation - say, invoice processing or weekly report generation - typically takes 4–6 weeks from kick-off to live in production. That includes discovery, development, testing, and controlled pilot. More complex end-to-end workflows with multiple system integrations and exception handling take 8–12 weeks. The most common reason projects run longer is incomplete process documentation at the start - something our discovery phase addresses specifically.
No, and this is one of the main reasons RPA was invented. Software robots can operate through user interfaces just like a human would - opening applications, reading screens, clicking buttons, and entering data - without any API on the target system. That said, API-based integrations are faster, more reliable, and easier to maintain where they're available. For most enterprise programmes we use a hybrid approach: APIs where they exist, UI automation where they don't, and middleware to tie it together.
This is one of the most important questions to ask before you start, and most vendors underplay it. Bots break when the underlying application changes, when exception inputs occur that weren't anticipated, or when infrastructure has issues. We design for this from day one: every bot has defined exception handling behaviour, automatic alerting, a manual fallback procedure, and monitoring dashboards. We also include 90 days of post-launch support in every engagement to catch and fix issues that only emerge at production volume.
The automation programmes we've delivered have very rarely resulted in headcount reduction - and when that was a goal, it was stated explicitly upfront. More commonly, automation absorbs growing transaction volumes without adding headcount, or it frees existing staff from processing work so they can focus on decisions, relationships, and problem-solving. The organisations that see the best outcomes are those that plan for what their people will do with the time automation returns to them.
Failed RPA projects almost always have one of five root causes: automating the wrong processes, underestimating exception volume, insufficient testing, no maintenance plan post go-live, or a bot that depends on a UI that then changes. We diagnose which of these caused your previous failure in the discovery phase, and design specifically to avoid it. If your bots are already built and just poorly maintained, we can also take over ongoing support and stabilisation of existing automation as a separate service.
We establish a baseline before we start - documenting current average handling time, error rate, cost per transaction, and throughput capacity for the target process. After go-live, we compare automation performance against that baseline. Most clients see payback within 11 months, driven by a combination of time saved, error reduction, and throughput increase. For the engagements where we have access to finance data, we build a proper cost-benefit model that accounts for build cost, ongoing maintenance, and the compounding effect of expanding automation across more processes over time.
